Three questions inspectors and management ask a company with many sites

Under Italian law, a company that owns and occupies its premises is both owner and employer: the obligations of both roles add up, site by site.

Who checked the contractor before they came on site?

One contractor per city, a quote by email, an order given verbally. Who measures the times and quality of each one? And the DUVRI, where it is required: who keeps it up to date?

Are the inspections at every site in order?

In Italy, lifts need an inspection every two years, heating systems a logbook and an energy efficiency report, and fire safety a fire safety logbook: every site has its own due dates, and every due date a named person responsible.

When a breakdown stops a site, who is the first to know?

The request passes from hand to hand until someone picks it up, and in the meantime the site runs at half capacity. If someone then gets hurt, what counts is proof of what was done and when.

You need two things: a single point of contact, a service desk that collects the requests of all your sites, and a system where contractors receive their jobs and close them with photos and documents. Fire safety logbook

In Italy, a fire safety logbook for every site: who fills it in and who is responsible

Every site has its own fire safety logbook (registro dei controlli antincendio), which must be kept up to date and shown to inspectors. The employer, or the person responsible for the activity, is accountable for it, even when filling it in is entrusted to others.

The checks, inspections and maintenance work on the site’s fire safety installations, equipment and systems, as they are carried out.

Who fills it in

Periodic checks and maintenance are carried out by qualified maintenance technicians, who leave their report; routine visual checks by site staff trained for the purpose. A central function can coordinate the logbooks of all sites, but responsibility stays with the employer.

What is EASYTM® and how does it work for a company with many sites?

EASYTM® is software and service for site requests and maintenance. Offices, shops, branches and warehouses call a single phone number, with your company’s name in the greeting, or write in through the portal; the Quality Hub, a D.P.S. team, classifies every request, solves what can be solved over the phone and assigns it to the right contractor or to your technical department. EASYTM® is made in Rome by D.P.S. What is the difference between EASYTM® and a CMMS, maintenance management software?

A CMMS (computerised maintenance management system), or a CAFM (computer-aided facility management) system, is the software used to plan and record jobs, due dates and contractors; calls from the sites are usually taken and entered by someone in your team. EASYTM® is software and service: the single point of contact comes already staffed by the Quality Hub, whose people answer the sites, classify requests and assign them; contractors work on the same system, for breakdowns and for scheduled maintenance. EASYTM® works on buildings, that is offices, shops, branches and warehouses, not on production machinery.

In Italy, who must fill in the fire safety logbook of a company with several sites?

The fire safety logbook (registro dei controlli antincendio) belongs to the employer, or the person responsible for the activity, at each site: filling it in can be entrusted to others, but the responsibility stays with them. Periodic checks and maintenance are carried out by qualified maintenance technicians, who leave their report; routine visual checks are carried out by site staff trained for the purpose. A company with 20 sites therefore has 20 logbooks, each kept up to date and available to inspectors at that site (Presidential Decree No 151/2011, Article 6; Ministerial Decree of 1 September 2021 on checks and maintenance of fire safety systems; Legislative Decree No 81/2008). I already work with a facility management company: does EASYTM® replace it?

No. With EASYTM® the facility management company works on the portal like the other contractors: it receives requests already assessed by the Quality Hub and closes them with photos and documents. You see the times and quality of its work, site by site, alongside those of the other contractors.

How long does it take to set up EASYTM® across all sites?

Usually 1 month: loading your sites and your contracts with contractors, activating contractors on the portal, setting up the single phone number with your company’s name in the greeting, and training the people who approve. We take care of these steps. Before you decide, you can bring the recent requests of one site to the meeting: we will show you how they would have gone through EASYTM®.

Does the data stay with my company?

Yes. Your company remains the controller of the data; D.P.S., which makes EASYTM®, is the processor, under a written contract and with a log of access.
