What is the source of the figures in the report you receive?
If the report is compiled by the party you are meant to oversee, it is a statement, not data. The board and the investors know this, and sooner or later they ask for the source.

What is EASYTM®, and what does a fund manager or owner see?
EASYTM® is the tenant management platform and service that those who manage income-producing real estate on behalf of funds, fund managers and owners use to receive tenant requests, assign them to contractors and follow them through to closure. Requests arrive through a dedicated phone number for each fund and through the portal; the Quality Hub, a team of D.P.S. people working to a set method, closes 86% of them without involving property and asset managers. The fund manager or owner does not work in the system: they receive the fund report, the measured times and, if they wish, an alert for every case on their properties. EASYTM® is made in Rome by D.P.S. Soluzioni Informatiche, a software house since 2002, and has been in use since 2022, with about 10,000 events handled every year in Italy (data as of 19 May 2026).
Should I require my property managers to use EASYTM®?
You can make it part of the mandate. For the property manager it is an advantage: the fund report fills itself in, the Quality Hub filters out routine requests and work notifications reach only the people doing the work. If you have more than one property manager, there is still just one tool, and the figures for each fund, calculated the same way, can be compared.
Can I have the report for a single fund or for the whole portfolio?
Both: in EASYTM® each fund has its own report and its own dedicated phone number, and the owner sees the whole picture in the read-only dashboard. At the meeting we show you this on a sample portfolio, with anonymised but real data.
What should a property manager’s report on tenant requests contain?
For each request, seven fields: request date, acknowledgement, site visit, quote and amount, approval, purchase order, completion. For each fund and period, the KPIs (key performance indicators) calculated from those dates: time to close (median and 90th percentile), share of requests closed without involving the managers, contractor performance, problem buildings and request types. This is the part of the property manager’s report that covers tenants and jobs; rents, rent arrears and budgets belong in the other chapters. In EASYTM® these figures are generated by the request workflow.
Who is the controller of the tenants’ data?
Under the GDPR, the controller is the owner or the fund manager; the property manager is the processor and the contractors are sub-processors. EASYTM® keeps a log of access and actions, so the chain can be demonstrated.
Under Italian law, is a landlord who has outsourced management still liable for damage caused by building systems?
As a rule, yes. Under Article 2051 of the Italian Civil Code, the landlord remains the custodian of the building’s structure and of the systems built into it, and is liable for damage to third parties unless they prove a fortuitous event (Supreme Court of Cassation, Order No 7812 of 22 March 2024); the tenant is liable for the parts at their disposal. A mandate to a property manager does not, on its own, transfer custody. What must a fund manager check on the external manager of its properties?
The fund manager remains responsible for the functions it outsources and must oversee them: in the EU this is set out in the AIFMD (Directive 2011/61/EU, Article 20) and, in Italy, in the Consolidated Law on Finance (TUF, Article 6(1)(c-bis)) and the Bank of Italy Regulation of 5 December 2019. In Italy, SGRs (Italian asset management companies) report their outsourcing contracts to the Bank of Italy every year (measure of 31 May 2023). For fund managers subject to DORA (Regulation (EU) 2022/2554, Article 30), the ICT provider used by the property manager goes into the register of information. In practice: a written contract, measurable service levels, and service data the fund manager can access.
