Three questions the fund will ask its property manager

The fund manager remains responsible for what it outsources to you and must oversee it, so it asks you for the evidence. At mandate renewal, or at the next tender, whoever already has it ready wins.

Can you send me the quarterly report, with times and steps?

Request date, acknowledgement, site visit, quote and amount, approval, purchase order, completion. How long does it take you to pull them out of emails and Excel? And how well would they stand up to an audit?

Who saw the request the tenant sent on Tuesday?

Who read it, who acknowledged it, when it was closed. If it sits in someone’s personal inbox, there is no evidence. And the tenant’s personal data is left lying around.

GDPR, Articles 28, 30 and 32: whoever manages on behalf of the fund is a processor of the tenants’ data, with records of processing activities and measures that can be demonstrated.

Is the logbook of checks up to date?

In Italy, the DUVRI (single document for interference risk assessment) for contractors, the fire safety logbook, the heating system logbook and energy efficiency report: each document has a named person responsible, and the penalty falls on that person. Often, the signature is yours.

How is EASYTM® different from maintenance software?

Maintenance software (the kind known as CAFM or CMMS) organises jobs, due dates and contractors. EASYTM® is tenant management software and service for income-producing real estate: it starts from the tenant’s call and ends with the fund report. In between, the Quality Hub closes 86% of requests without your managers, and every step, contractors included, is recorded with date, user and document. It is built for those who provide property management on behalf of funds and fund managers, and it is made in Rome by D.P.S. Soluzioni Informatiche, a software house since 2002. Does the Quality Hub stand between me and my tenants?

No. D.P.S. is a software house, not a property manager: it does not compete with you. The EASYTM® Quality Hub works under your name, and on the phone the tenant hears the name of their fund, not ours. It does the routine work; the relationship with the tenants, the decisions and the margin remain yours.

Do my people have to learn new software?

No. The building manager can also use EASYTM® on their phone: they see the requests for their buildings, upload photos and approve. Contractors receive the ticket on the portal, with a one-page guide. We take care of visibility by role and by fund, and of training the building managers.

What does the fund see?

The fund sees what the mandate provides for: the EASYTM® fund report with its seven fields and, if it wishes, an alert for every case on its properties. The source is the same for you and for the fund: it is not an extra check, it is proof of the work you do, ready when the mandate is up for renewal.

How much does EASYTM® cost?

EASYTM® does not have one price list for everyone: the cost is worked out for your case. At the meeting we show you how, with a first business case for your funds. You do not need to hire anyone to start: we handle the dedicated phone number, loading the contracts and the training.
