Alerts for building managers: highlighting overdue requests and complaints

Coordinating requests across several properties hides delays and complaints that come to light too late. Two reports in the EASYTM® dashboard highlight them, using a statistical criterion rather than gut feeling.

‘Alerts for building managers’: three managers seen from behind, facing a wall of screens with dashboards and alerts

In property management and tenant management, coordinating work across several properties creates hidden inefficiencies: overdue requests, untracked complaints, workflows that are hard to follow. These are signals that, if they are not picked up in time, turn into unexpected costs and weigh on day-to-day operations.

That is what alerts for building managers are for: highlighting, in real time, the requests that go beyond the expected times and those that have led to complaints, so that the people in charge can act before the problem reaches the tenant or the client.

Getting ahead of problems, not chasing them

For anyone who manages properties on behalf of others, spotting problems in time is essential. EASYTM® is tenant management software and service for income-producing real estate, and its dashboard is designed to give practical support to building managers, property managers and asset managers: reading the data at a glance and acting precisely on delays and anomalies.

One dashboard, two decisive tools

Inside the dashboard, two targeted reports help to prevent inefficiencies:

  • Overdue requests. Shows the requests that exceed the critical time thresholds. For example, an unusual cluster of invoicing-related requests may indicate that the process needs reviewing.
  • Complaints. Gathers the requests that have led to many complaints. It lets you analyse recurring patterns and find the root causes, such as requests for new space that are often disputed.

These are two of the property management KPIs and reports that the dashboard calculates for each fund and period.

An objective method for setting priorities

The criterion is statistical and based on the 90th percentile: you take the time within which 9 requests out of 10 are closed, and highlight only those that exceed it, that is, the slowest and most critical slice of the total. Not the average, which a few long cases push up and which hides the real problems. This way attention stays on what matters, without being distracted by marginal anomalies.

Practical benefits in everyday operations

With these tools you can:

  • monitor operational performance continuously;
  • act immediately on recurring delays or complaints;
  • allocate resources in a more targeted way;
  • reduce the hidden costs of inefficiency.

A practical example of the EASYTM® dashboard is shown in the video ‘Alert per i Building Manager’ (in Italian) on the EASYTM® YouTube channel.
